Constituent Service & Administrative Coordinator 

 

SUMMARY 

The Constituent Services & Administrative Coordinator provides assistance and resources to constituents who contact the district office regarding a variety of issues as well as supporting administrative & Outreach tasks. This position acts as a liaison between local community and government agencies and constituents. The coordinator is responsible for managing constituent casework and maintaining regular communication with constituents. This position is a part-time role, paid at an hourly rate, and reports directly to the Chief of Staff. 

 

ESSENTIAL JOB FUNCTIONS 

Constituent Services 

  • Acts as a liaison to constituents on behalf of the State Representative within their district including answering casework correspondence, meeting with constituents, written and verbal communications with constituents, and attending outreach events as needed

  • Assesses casework for problems requiring legislative action and, with the guidance of the Chief of Staff, determine the appropriate course of action 

  • Handles casework assignments, including keeping detailed records, data entry, and seeing all assistance requests to reasonable resolution 

  • Screens and refers cases, when appropriate, to other district offices including city, county, and federal elected officials or state agencies 

  • Keeps the State Representative and Chief of Staff informed of recurring constituents concerns with weekly reports 

  • Supports the Policy and Outreach Director in executing constituent outreach events as necessary, some tabling on weekends or weekdays will be required 

Administrative Duties 

  • Answer and direct phone calls and visitors when in the office

  • Check mail box

  • Makes sure office is organized and ready to receive constituents

  • Responsible for preparing the weekly Monday meeting agenda

  • Participate in team meetings, planning, and general office processes as requested 

  • Monitor general inbox and direct emails to the appropriate person 

  • Maintain various databases related to constituent services activities 

  • Support in the preparation of Outreach events

  • Help develop database tracking systems 

  • Help with organizing the social media calendar and drafting some general social media post

  • Support Outreach Director when planning outreach events

  • Other duties as assigned

SKILLS AND KNOWLEDGE REQUIRED 

  • High computer proficiency - specifically with google suites (gmail, docs, etc.) 

  • Ability to exercise discretion, independent judgment, and problem-solving skills 

  • Organized with thoroughness and careful attention to detail 

  • Very strong oral and written communication skills 

  • Consistent and reliable work attendance 

  • Temperament to communicate with a variety of personalities in a tactful, pleasant, and professional manner 

  • Knowledge of government offices and procedures is helpful to the success of the job but not necessary 

  • Spoken and written bilingual proficiency in English/Spanish is necessary 

  • Access to a vehicle is strongly proffered 

COMPENSATION 

  • Pay Rate: $20/hour 

  • 24 hours per week 

  • Start date: ASAP – no later than January 4th

  • Schedule: 6 hrs per day, 4 days a week- some weekends might be required

  • Monday-Thursday 10am-4pm (some weekends required)
